TERMS AND CONDITIONS

Registration Fee

  • Fee includes technical sessions, breakfast, lunch, coffee breaks, and reception.
  • SPE accepts American Express, Visa, and MasterCard credit cards. All registration fees are in Canadian Dollars (CAD). All registration fees are subject to 5% GST.
  • Registration fee DOES NOT include accommodation.
  • Registration of participants will only be confirmed upon registration and receipt of full payment.
  • All outstanding payments must be received on or prior to the date of the event for participants to be allowed to attend. SPE reserves the right to cancel the registration if no payment is received prior to or on the date of the event.
  • Full fee is charged regardless of the length of time the Participant attends the event and cannot be pro-rated.

Taxes

  • Fee are made free and clear of, and without any deduction or withholding for and on account of, any taxes, duties or other deductions. Any such deduction or withholding, if required by the laws of any country are the sole responsibility of the Participant.

Workshop Cancellation and Refund Policy

Cancellations and requests for refunds must be received in writing by 18 November 2024 for refund of registration fees, less CAD 100 administration fee. No refunds will be issued after 18 November 2024. Send your request by email to CanadianRegistration@spe.org

Visa Invitation Letter

If you are a presenting author or an invited speaker in need of a visa letter, please contact Jinny Bae for further assistance.

Due to a large amount of fraudulent activity, we now have a strict protocol in place for international visitors that require a visa. Determine whether you will require a visa to enter Canada and plan accordingly. If you require a visa for entry, please be advised that the process of obtaining a visa may take several months. Create an official SPE invitation letter that you can print and use to send to the embassy or consulate. 

Note:

  • Signed visa letters won’t be given less than three months before the event date.
  • DO NOT register or book a hotel room until you have received your visa. 
  • It is the sole responsibility of the attendee to obtain the necessary paperwork for entry to Canada. This letter does not guarantee that you will be granted a visa, nor does it commit SPE to assist you in obtaining a visa. SPE will not pay any expenses incurred by you. We cannot send the letter to the embassy or consulate for you, nor can SPE contact the embassy or consulate on your behalf. We do not provide visa letters for family members.

Badge Pickup

Badges will be available for pick up on-site at the registration desk during registration hours.

Any income from this event will be invested back into SPE to support many other Society programs. SPE reserves the right to change the speaker(s), date(s) and/or to cancel the workshop should circumstance beyond its control arises. SPE will not be liable to participants for any damages, costs, losses or expenses of any kind incurred or suffered by participants as a result of or in relation to SPE modifying, postponing or cancelling the workshop.
